1. Booking and confirmation
A booking is made when the Book Your Seat form is completed and submitted on cxsymposium.co.za. Submitting the form creates a binding registration request for the number of seats selected.
Each booking is assigned a unique registration ID and a tax invoice number. A confirmation email and a tax invoice are issued automatically to the email address provided.
Seats are allocated on receipt of payment. The organisers reserve the right to release unpaid seats after the payment due date.
2. Fees and invoicing
Registration fees are quoted per delegate and are subject to the group rate applicable to the number of seats booked. All quoted rates are VAT inclusive; no VAT is added on top of the advertised price. The invoice shows the VAT portion included in the total for accounting purposes.
A tax invoice is generated automatically on registration and made available to the delegate and the billing company.
3. Payment terms
Please pay within 7 days from receiving the invoice.
The delegate and/or the company named on the booking is responsible for payment of the full registration fee within 7 days of receiving the invoice.
Payment must be made by electronic funds transfer using the invoice number as the payment reference. Proof of payment should be emailed to the symposium team.
Unpaid invoices after the due date may result in the booking being cancelled and the seat released, without waiving the organisers' right to recover amounts due.
4. Cancellations, substitutions and no-shows
Cancellations must be submitted in writing to the symposium team. Cancellations received fewer than 14 days before the event, and no-shows, remain payable in full.
Delegate substitutions are permitted at no charge at any time before the event, provided the replacement delegate's details are supplied in writing.
5. Programme changes
The organisers may amend the programme, speakers, session times, format or venue where necessary. Where the event cannot proceed on the published dates, bookings will be transferred to the rescheduled dates.
6. CXS Connect platform access
Registration includes access to CXS Connect, the official delegate platform. Access is personal to the named delegate and may not be shared. Platform access is activated once the registration is approved.
7. Delegate data and privacy
Details supplied during registration are used to administer the booking, issue invoices, provide platform access and communicate event information. Acceptance of these terms, together with the date, time and IP address of acceptance, is recorded against the booking as an auditable record.
Delegate details are not sold to third parties.
8. Conduct, recording and media
Delegates are expected to conduct themselves professionally. The organisers may photograph and record sessions for event and marketing purposes; delegates who prefer not to be featured should notify the symposium team on arrival.
9. Liability
The organisers are not liable for travel, accommodation or other costs incurred by delegates, or for indirect or consequential loss arising from attendance or from changes to the programme.
10. Governing law and contact
These terms are governed by the laws of the Republic of South Africa.
